Agents

Give your assistant a standing job it owns until you tell it to stop.

Ask us

Most of what you hand KKHS Assist has an end: a message to send, a meeting to book, a question to answer. Some jobs do not. Somebody has to keep an eye on the community group. Somebody has to chase the daily numbers and put them in the sheet. Somebody has to notice when the vendor thread goes quiet for three days.

An agent is that somebody. You write it a brief once — what it looks after, what it may do, when it checks in — and it keeps running until you switch it off. Think of it less as a command and more as hiring for a role.

What makes an agent different

  • It does not wait to be asked. An automation runs at a time or event you choose. An agent owns a broader standing brief and keeps watching in between its checks.
  • It keeps notes, not memories. Everything it observes goes into a running record you can read, one day at a time. That is why it does not forget what happened on Tuesday: it wrote Tuesday down.
  • It is scoped to specific chats. An agent only reads and acts in the chats you list. Leave the list empty and it stays in your self-chat.
  • It has a budget. You can cap what it is allowed to spend in a day, so a standing job cannot quietly run away with itself.

Setting one up

  1. 1

    Open Agents in your dashboard

Under Automate in the sidebar. Tap New agent.

  2. 2

Describe the job in plain words

Say what the agent is for — "watch the residents' group, log every maintenance complaint into my Issues sheet, and flag anything about water or lifts to me immediately." KKHS Assist drafts the full brief from that.

  3. 3

Check the brief before it goes live

You get an editable page: what it watches, which chats, what it may and may not send, and its scheduled check-ins. Edit anything you do not like — this is the agent's instructions, in your words, and it is the whole configuration.

  4. 4

    Switch it on

Toggle it live. From then on it runs on its own; you will see it in the list with its chats, its checks, and how many notes it has taken today.

What you will see on the page

  • Its notes for the day — the running record of what it observed and did, with earlier days a tap away.
  • Its scheduled checks — each one with a Run now button, so you can test a check without waiting for its time.
  • Whether it replies — an agent that only watches and records is marked differently from one allowed to speak in its chats.
  • A pause switch — turn it off and its checks stop firing immediately. Everything it has written is kept, so switching it back on picks up where it left off.

Agents worth having

  • "Moderate the community group — welcome new joiners, remove spam links, and send me a daily summary of anything that needed a human."
  • "Every evening, check which of the field team posted their day's numbers, log them to the tracker, and message anyone who didn't."
  • "Watch my supplier chats. If a thread goes three days without a reply from them, tell me."
  • "Keep the events sheet current from whatever gets announced in the organisers' group."

Background tasks

The Agents page is also where longer one-off work shows up. When you hand KKHS Assist something too big for a single reply — a sweep across hundreds of messages, a bulk tidy-up, a research job — it runs in the background as a series of steps, saving its progress as it goes so a restart never loses the work.

You will see each one listed with what it is doing and how far along it is, and you can cancel any of them — the run stops at its next step rather than being killed mid-action.

Which one do I want? A one-off task that just takes a while is a background task. A reminder, recurring check, instant rule, or fixed sequence with waits is an automation. A standing role with a brief and no end date is an agent.

An agent's brief is a document, not a form — you write it the way you would brief a new hire, and every change is version-tracked so you can see what you changed and go back. The same is true of everything else that steers your assistant; see Custom skills.
